Job summary

PA with responsibilities for the UK Corporate & Leveraged Finance team.

Key Responsibilities

·       PA support to the Head of CLF UK and members of the UK Corporate & Leveraged Finance team including diary management, call screening and access management.
·       Booking of business travel, accommodation, visa applications, itineraries and the processing of expenses for the managers and teams, in line with company policies.
·       Co-ordinate with CLF Personal Assistants in other jurisdictions as required.
·       Co-ordinate meetings and presentations as required.
·       Maintain holiday and absentee records for the assigned teams.
·       Organise meeting schedules for the above teams including overseas visitors.
·       Co-ordinate recruitment process (interviews etc) and co-ordinate set up for new staff.
·       Perform general office administration, office move requests, filing, copying, ordering stationery, IT and office supplies, distribution of post and document preparation and updating.
·       Co-ordinate fire drills and BCP training for assigned teams when required.
·       Provide cover for other front office assistant in times of absence, or when particular projects require extra help.
·       Assist in various business initiatives, ad hoc project work and reporting as required.

Management and Reporting

Report to the Head of CLF UK on the progress of the workload and specific issues on a regular and ad hoc basis.

Legal and Regulatory Responsibilities

·        Comply with all applicable legal, regulatory and internal Compliance requirements, including, but not limited to, the London Compliance manual and the Financial Crime Policy.

·        Maintain appropriate knowledge to ensure to be fully qualified to undertake the role. Complete all mandatory training as required to attain and maintain competence.
